Quick start guide
How to use Top 3 Priorities
Top 3 Priorities keeps everyone focused on the three things that matter most right now — no accounts, no passwords, no apps to install. Everything works through personal links sent to your work email. This page explains each link and exactly how to use it.
Your three links
You receive your links by email — from your administrator, or by using Email me my links on the sign-in page. There are three, and each has a different job:
1. Private edit link — yours alone
This is where you set and update your priorities. Anyone holding it can change your list, so never forward or post it.

2. Read-only view link — safe to share
Shows your current Top 3 without letting anyone change them. Share it with your manager or teammates.

3. Mobile board link — the whole team
A phone-friendly board of everyone's priorities and problems, with search. Same link for the whole company — save it to your home screen.

If a link ever stops working, it was reset — ask your administrator for a fresh one or use the Email me my links option on the sign-in page.
Using your private edit link
Open your private edit link on any phone, tablet, or computer. There's no sign-in — the link itself is your access, and every change saves instantly with a small Saved ✓ confirmation.
Add a priority
Tap + Add Priority in any empty slot, type what you're working on, and tap Save. Keep it short and concrete — one outcome per slot. You have exactly three slots, numbered 1 to 3, with #1 the most important.
Edit the wording
Tap a priority's text to change it, then save. Small wording fixes don't reset the priority's age or history.
Mark it complete
Tap the circle next to a priority to check it off. Completed items stay visible with a strikethrough so your team can see what you finished. Tapped it by accident? Tap again to mark it incomplete.
Replace a finished priority
Use Replace Priority on a completed item to archive it and type the next thing — it takes the same slot, and your completion history is kept for the streaks and stats on the team dashboards.
Reorder your list
Drag the handle to move priorities up or down — touch dragging works on phones. Buttons for Move Up / Move Down are there too.
Your #1 problem
Below your three priorities you can name the #1 problem holding you back — one specific obstacle slowing you, your team, or the company down. You can have one open problem at a time.
- Describe the problem in your own words. If AI coaching is on, a short review step may ask a follow-up question or two to turn a vague frustration into a clearly defined, solvable problem.
- You always approve the final problem statement — including a "we'll know this is solved when…" finish line — before it goes on your page.
- Your problem appears on the team dashboards so the right people see it. Teammates can tap I can help, and you'll see their names on your page.
- When it's fixed, mark it resolved. Changing the problem's text resets the helper list, so offers to help always match the current problem.
Your read-only view link
Your view link shows your name, department, and current Top 3 — with how long each priority has been on the list, when it was completed, and your open #1 problem. It also shows a Last Updated line.
- It's read-only: nobody can edit your priorities from it.
- Share it with your manager, project partners, or anyone who needs visibility.
- It refreshes itself automatically — viewers always see the latest list.
- Priorities older than a week are gently highlighted, so stale items stand out without anyone having to ask.
The mobile board
The mobile board is the whole team in your pocket. Open your mobile board link on your phone — it's built for small screens and quick check-ins.
- Search — type a name or department to jump straight to a teammate.
- Choose who you see — open the menu and tick the people you follow. Your picks are saved on that device, so the board always opens your way.
- Always fresh — the board reloads itself on a schedule set by your admin, and shows a last-updated time at the bottom.
- I can help — see a problem you can unblock? Tap the button, confirm your name, and the person sees you volunteered.
- A small CU badge marks teammates whose priorities sync automatically from ClickUp.
Save to your home screen
Both your private edit link and the mobile board work great as home-screen icons — one tap and you're in, no bookmarks to dig through. The board even reopens with your people filter exactly as you left it.
iPhone / iPad
- Open the link in Safari.
- Tap the Share button (the square with an arrow pointing up).
- Scroll and tap Add to Home Screen.
- Name it (e.g. "My Top 3") and tap Add.
Android
- Open the link in Chrome.
- Tap the ⋮ menu (top right).
- Tap Add to Home screen or Install app.
- Confirm, and the icon appears with your apps.
Tip: save your private edit link and the mobile board as two separate icons — one to update your list, one to see the team.
Team dashboards
Alongside your personal links there are two read-only dashboards your leaders use — you don't need them day to day, but here's what they show:
- Company dashboard — everyone's Top 3 grouped by department, with completions today and this week, streaks, a 14-day trend, oldest open items, and open problems. Built to run on a TV.
- Department dashboards — the same view scoped to one team, so managers see just their people.
- Both refresh automatically and include the I can help button on open problems.
Lost your links?
Email them to yourself
Go to the sign-in page and use Email me my links with the work email your admin has on file. You'll get your private edit link, read-only link, and the mobile board link in one email.
Or ask your administrator
Admins can resend your links anytime, and can reset them if one was shared by mistake — a reset makes the old link stop working immediately.
Keep the welcome email somewhere safe (star or pin it) and you'll always have all three links.
Tips for a great Top 3
- Keep all three slots filled — an empty slot is a missed signal to your team.
- Make #1 the thing that matters most this week, not the loudest request.
- Check items off as you finish — completions feed your streak on the dashboard.
- Replace completed items the same day so the list always shows what's next.
- Rewrite a priority if it hasn't moved in a week — stale usually means vague.
- Use your #1 problem for what's slowing you down — it's how help finds you.
